Business

AIMY Expert

Agentic RAG AI Expert for real business questions.

AIMY Expert answers questions from your own documents — PDFs, Word files, spreadsheets, decks and images — citing the source in every reply. Where the answer is not in your documents it says so instead of inventing one, and where two documents disagree it surfaces both and says which is more recent.

  • The source document cited in every reply, so anything can be checked in seconds
  • Stops and says so rather than filling the gap from general knowledge
  • Spreadsheets answered by running code over the whole table, not fragments of it

The problem

Your organisation knows more than it can access.

Every organisation invests years building expertise, processes, policies, and best practices. Yet much of that knowledge remains fragmented across systems, documents, and teams.

  • Employees spend valuable time searching instead of doing.
  • Experts become bottlenecks for everyday questions.
  • Knowledge is lost when employees move on.
  • Teams adopt disconnected AI tools with inconsistent governance.
  • Organisations have limited visibility into how answers were generated and where the information came from.
The concept

One platform. Every team.

Every team wants AI. AIMY brings everyone onto a single trusted platform, giving employees access to the knowledge they need while maintaining security, governance, and control.

Administration

Office Manager · Executive Assistant

Admin is the company's human switchboard, and most of what it routes was already written down.

What they actually ask

  • “I am travelling to Singapore next week — what can I claim, and do I need approval?”
  • “How do I raise a purchase order, and who signs it off at this amount?”
  • “What is the procedure for a visitor needing site access?”

Company-wide policy, never personal records

Administration answers policy for everyone, so its corpus is deliberately broad. Individual payroll, reimbursement history and HR files are excluded from the index entirely — breadth of readership is exactly why the boundary has to be tight.

Asking as Employee · KL office

I am travelling to Singapore next week — what can I claim, and do I need pre-approval?

Trips under 3 nights within ASEAN need line-manager approval only.1 Economy flights and up to SGD 250/night accommodation are claimable, with meals capped at SGD 80/day.1 Book through the corporate portal — out-of-portal bookings are reimbursed at the portal fare.2

Human Resources

CHRO · HR Business Partner

HR business partners spend their week on handbook lookups instead of the work that actually needs a human.

What they actually ask

  • “How much carried-forward leave can I take into next year?”
  • “What is the notice period during probation in my country of employment?”
  • “What does our medical plan cover for dependants?”

You see your own record, never anyone else's

Entitlement questions are answered against the asking employee's own HRIS record. The retrieval layer scopes to the individual, so "how much leave do I have" is personal and "how much leave does she have" simply has no answer.

Asking as Employee · Malaysia · Grade 5

How much annual leave can I carry into next year, and does it expire?

You may carry forward up to 8 days, capped at your grade entitlement.1 Carried days expire 31 March.1 Your current balance is 14 days, so up to 8 will roll over automatically on 1 January.2

Finance & Accounting

CFO · Financial Controller

The controller is a human lookup service for delegation limits, and every wrong answer becomes an audit finding at year end.

What they actually ask

  • “What is the approval threshold for a supplier contract in this entity?”
  • “How do we treat a three-year software licence — capitalise or expense?”
  • “What is the cut-off procedure for accruals at quarter close?”

Pre-release figures stay inside the close team

Unpublished management accounts and forecast working papers are visible to the close team and nobody else. The same assistant answers policy questions for the whole company without ever leaking a number that has not been released.

Asking as Procurement manager · MY entity

What is our approval threshold for supplier contracts in Malaysia?

Contracts above MYR 250,000 require Procurement Committee approval; above MYR 1,000,000 they additionally require CFO sign-off.1 Multi-year agreements are assessed on total contract value, not annual spend.2

Marketing

CMO · Brand Manager

Copy drifts from the approved product truth, and legal review becomes the bottleneck on every asset.

What they actually ask

  • “Which performance claims are approved for this product right now?”
  • “What did we say about this feature at launch, and has it changed?”
  • “Which customers am I allowed to name in this region?”

Approved claims only — drafts stay out of the index

Claims still pending legal or benchmark substantiation are excluded from retrieval, not merely flagged. An unreviewed claim that cannot be retrieved cannot end up in an external asset by accident.

Asking as Content marketer · APAC

Can I say we are “the fastest” in the new campaign, and which customers can I name?

No — superlative performance claims were withdrawn in February pending benchmark substantiation.1 The approved alternative is “sub-two-second median response”, which is substantiated.1 Three customers hold current naming consent for APAC: Contoso, Northwind and Fabrikam.2

Sales & Revenue

CRO · Sales Enablement

Reps promise things the product does not do, and the security questionnaire sits with an engineer for a week.

What they actually ask

  • “Do we support data residency in Singapore, and what can I commit to in writing?”
  • “What is my discount authority on a three-year prepaid deal?”
  • “How did we answer this exact RFP question last quarter?”

Pricing floors for AEs, not for partners

The same assistant is deployed to direct sellers and channel partners with different retrieval scopes. Partners get product and security answers; internal discount floors and margin data are simply not in their index.

Customer Service

Head of Customer Service · Support Operations

New agents take months to become independent, and the escalation queue is full of questions that were answered in writing a year ago.

What they actually ask

  • “Does the Pro plan include SSO, and is SCIM part of it?”
  • “What is our refund position on an annual plan cancelled in month two?”
  • “Has anyone seen this error code before, and what fixed it?”

Tier-1 agents never see escalation-only notes

Internal post-incident write-ups and account-level commercial terms stay invisible to first-line agents, while the same assistant surfaces them to the escalation team. One deployment, two very different answer surfaces.

Development & IT

CTO · Engineering Lead

Every incident starts with ten minutes of finding the runbook, and half the architecture decisions get re-litigated because nobody can find the original.

What they actually ask

  • “What is the rollback procedure for the payments service?”
  • “Why did we choose this queue over the alternative, and what did we rule out?”
  • “Has this alert fired before, and what was the root cause?”

Secrets are redacted before the model sees them

Credentials, tokens and connection strings are detected and stripped during indexing, not at answer time. A runbook can be fully retrievable while the secret inside it never leaves your secret manager.

Asking as On-call engineer

What is the rollback procedure for the payments service?

Roll back with `deploy rollback payments --to=previous`, then confirm the settlement worker drains before declaring recovery.1 Note: rollbacks past v4.10 require a schema down-migration — the 2026-05-14 incident was caused by skipping it.2

Operations

COO · Plant Manager

Troubleshooting depends on which technician is on shift, and the operation's history is unsearchable.

What they actually ask

  • “Fault code E-217 on line 3 — what fixed it last time?”
  • “What is the current revision of this changeover procedure?”
  • “Which spare parts are approved for this assembly?”

Scoped to the site the operator works at

A technician at one site retrieves that site's procedures and equipment history. Site scoping prevents a procedure written for different machinery being presented as authoritative — the failure mode that makes operational AI dangerous.

Fault code E-217 on line 3 — what fixed it last time?

E-217 is a servo position feedback fault.1 It has occurred four times on this line; three were resolved by reseating the encoder cable at the drive end, one required encoder replacement.2 Mean repair time on the cable fix: 35 minutes.2

Executive Management

CEO · Managing Director

The answer already exists in someone's report. Finding out whose is the part that takes three days.

What they actually ask

  • “What did we commit to on this initiative at the last board meeting?”
  • “Which projects have slipped since the quarter opened, and what reason was given?”
  • “What is our stated position on data residency when a customer asks?”

The broadest reach on the platform, and still a bounded one

The executive corpus spans departments by design — that breadth is the whole point of the role. It is still a defined set of documents rather than an exemption: personnel files, individual compensation and live legal matters sit outside it, and reach one of those by request and process, not by asking an assistant.

Capabilities

What AIMY Expert actually does.

Citation-first answers

Every statement links to the exact passage it came from. If the corpus cannot support an answer, AIMY Expert says so rather than filling the gap.

Permission-aware retrieval

AIMY Expert respects your existing access controls and permissions, ensuring sensitive content remains protected.

Hybrid retrieval

Hybrid search built around the tabular path. Benchmarked internally, we are re-running that comparison before we publish a figure.

Continuous evaluation

A living answer-quality suite runs against every configuration change. Groundedness, retrieval recall and refusal behaviour are tracked as releases, not as vibes.

Connectors, not migrations

SharePoint, Google Drive, S3, Postgres, Zendesk and generic webhooks. Content stays where it lives; we index in place.

Deploy where your data lives

Managed cloud, your VPC, or fully on-premise with self-hosted models. The architecture does not change — only where it runs.

How it works

From your repositories to a cited answer.

  1. 01

    Connect

Point AIMY Expert at your repositories. Connectors sync content and, critically, the access-control lists attached to it.

  2. 02

    Structure

Documents are parsed layout-aware — tables stay tables, headings stay context — then chunked semantically and embedded into a hybrid index.

  3. 03

    Retrieve

A question triggers parallel dense and keyword search, filtered against the access controls in force, then reranked to a tight, high-signal context window.

  4. 04

    Answer

The model composes an answer constrained to retrieved evidence, attaches citations, and abstains when the evidence is thin.

  5. 05

    Improve

Thumbs, unanswered questions and low-confidence traces flow into an evaluation set that drives the next tuning cycle.

Questions

The ones procurement always asks.

Something not covered here? Ask directly — you will get a straight answer, including when the answer is that we are not the right fit.

Ask us
How is this different from ChatGPT with file uploads?

Scope and accountability. File upload is a session-level convenience for one person. AIMY Expert indexes the whole corpus continuously, enforces who may see what, cites its sources, and produces an audit trail your risk function can review.

What stops it from hallucinating?

Three things: the model is constrained to retrieved evidence, every claim must be attributable to a cited passage, and a groundedness check runs before the answer is returned. When evidence is insufficient the system abstains — an honest "not in the documents I can see" is a correct answer.

Do we have to move our data?

No. Connectors index content in place. For on-premise deployments, nothing leaves your network at all.

How long does a deployment take?

A scoped pilot on one corpus typically runs four to six weeks from kickoff to measured results. Enterprise-wide rollout depends on how many source systems and identity integrations are in play.

Which model do you use?

Whichever fits your constraints. Model choice is a configuration decision, not an architectural one — we benchmark candidates against your evaluation set and can run fully self-hosted where data policy requires it.

Next step

Put AIMY Expert against your own documents.

We evaluate on a sample of your own corpus, never a canned dataset. That is the only way to tell whether retrieval will hold up on your content.
